Privacy policy

Who we are. For the purposes of the GDPR, the data controller for Limassol Charity Run is Artem Bobrov, Limassol, Cyprus. You can reach us at info@limassolcharityrun.com.

What we collect. When you join the community we collect: your first and last name, your email address, your phone number if you give it, your chosen distance, the name and phone number of an emergency contact, how you heard about us, your language, and the choices you make about photography and future emails. We record the date and time you accepted our Terms of Participation. If you register a child, we also collect the child's name and date of birth, whether a child aged 11–17 may run without an adult, and your choice about photos of them.

Why we collect it, and on what legal basis.

  • To organise the community's runs and events and to contact you about them, including telling you if a run is cancelled. Legal basis: taking steps at your request before entering into an agreement (Article 6(1)(b)).
  • To contact someone on your behalf in an emergency. We use your emergency contact only for this. Legal basis: our legitimate interest in being able to reach someone on your behalf in an emergency (Article 6(1)(f)); in a life-threatening situation, protecting vital interests (Article 6(1)(d)).
  • To take and publish photographs of our runs and events for our website and social media. Legal basis: for adults, our legitimate interest in recording them and building this community (Article 6(1)(f)); for children, the consent of their parent or guardian (Article 6(1)(a)). You can opt out when you sign up, and you can ask us to remove any photograph at any time. Where you are the main subject of a photograph and we want to give it to a partner for their own use, we will ask you first.
  • To send you news about the community, if and only if you tick that box. Legal basis: your consent (Article 6(1)(a)). You can withdraw it at any time by replying to any email.

Which fields are required. Your name, email, emergency contact and acceptance of the Terms are required — without them we cannot add you to the list. If you register a child, their name and date of birth are required too. Your phone number, chosen distance, how you heard about us, the photography opt-out, the photo consent for a child and the news box are optional, and leaving them blank changes nothing about your place in the community.

Children. Participants under 18 are registered by a parent or guardian, who accepts the Terms and gives the consents on the child's behalf. We collect only the child's name, date of birth and the parent's contact details. We do not publish photos in which a child is recognisable without the parent's consent.

Who sees your data. The organiser and, where needed for a run, the volunteer leading it. Volunteers see only what they need on the day and are bound to keep it confidential. We store registrations in a database hosted by Supabase, and we send email through Google Workspace. Both act as our processors. We do not sell your data, and we do not share it with sponsors.

Where your data goes. Our database and email are hosted on infrastructure that may process data outside the European Economic Area. Where that happens, the transfer is covered by the European Commission's standard contractual clauses.

How long we keep it. We keep your details while you are on the list. Tell us you are leaving and we delete them within 30 days; we also delete the details of anyone who has not been in touch for two years. If you asked for news about the community, we keep your email address until you tell us to stop. Published photos stay online while the website is live and are removed on request. Unpublished originals are deleted after 12 months.

Your rights. You can ask us for a copy of your data, to correct it, to delete it, to restrict how we use it, to object to our use of it, or to receive it in a portable form. Write to info@limassolcharityrun.com and we will respond within one month, free of charge.

Complaints. If you think we have handled your data badly, please tell us first — we would rather fix it. You also have the right to complain to the Office of the Commissioner for Personal Data Protection of the Republic of Cyprus.

Cookies. This site sets no tracking cookies, runs no analytics, and loads no advertising or social media trackers. We store your language choice in your browser so the site remembers it; that never leaves your device and is not shared with anyone.

Changes. If we change this policy we will update the date below.
